NOTICE OF ANNUAL GENERAL MEETING

This is to give you NOTICE that the ANNUAL GENERAL MEETING of REGARD will be held on Saturday 8 September 2007 at the Vicarage Lane Community Centre, Govier Close, Stratford, London E15 4HW.

The provisional Timetable for the day is:

12 Noon - Welcome, food and refreshments, followed by informal discussion on the role of REGARD.
2pm - AGM, followed by
3pm - Social event with entertainments and refreshments
4.30pm - Close

The AGENDA for the AGM is:

(1) To read and approve the minutes of the last Annual General Meeting held on 10th December 2006.
(2) To deal with any matters arising from the minutes.
(3) To hear reports from the Co-Chairs, Secretary and Treasurer. The Accounts for the last year will be laid before the meeting.
(4) To elect members to cover the following posts/responsibilities on the Executive Committee:
[i] Co-Chairs (female and male)
[ii] Secretary
[iii] Treasurer
[iv] Membership Secretary
[v] Policies and Procedures Co-ordinator
[vi] Electronic Penfriends Scheme Co-ordinator
[vii] Newsletter and Communications Co-ordinator
[viii] Archive and Photo Publicity Co-ordinator
[ix] Database Manager
[x] Fundraising and Sponsorship Co-ordinator
[xi] Liaison with Disability Groups & Individuals*
[xii] Liaison with LGBT Groups & Individuals*
[xiii] Liaison with HIV Groups & Individuals*
[xiv] Liaison with Learning Disabilities Groups & Individuals*
[xv] Liaison with Deaf Groups & Individuals*
[xvi] Liaison with Older People's Groups & Individuals*
[xvii] Liaison with Youth Groups & Individuals*
[xviii] Liaison with Black and Minority Ethnic Groups & Individuals*
[ix] Liaison with Transgender Groups & Individuals*
*to do this job you should self-identify with the relevant community

PLEASE READ CAREFULLY! To be on the Executive Committee you must be a current member of REGARD and there should be no legal difficulty with you joining the Executive Committee, such as a conviction for dishonesty (for advice on this you can speak, in complete confidence, with the Secretary - contact details are below).
Also, you must understand and agree:
(a) That joining the Executive Committee will also mean becoming a Director of our company REGARD (GB) Limited (but this will not involve any additional meetings).
(b) To complete any legal documents required by the Charity Commission and Companies House. The Secretary will help you do this if you are not sure.
(c) To comply with any Code of Conduct agreed by the Executive Committee and generally to work with and support other members of the Executive Committee in the best interests of REGARD and all its members.
